Switching salon booking systems without losing clients
A step-by-step checklist for moving to a new booking system: what to export, when to switch, and how to tell your clients.

Moving booking systems feels risky because your diary is your business. Done in the right order, clients barely notice anything except a new link.
Before you start
- Write down what you use every day: online booking, reminders, checkout, packages, gift cards, reports.
- Check your notice period and when your current plan renews, so you don't pay for a month you won't use.
- Pick a quieter week to switch, not the run-up to Christmas.
Take your data with you
- Export your client list as a spreadsheet (CSV). Most systems have this under Clients or Reports.
- Download any reports you'll want later, like last year's sales and GST, because past sales usually stay behind.
- Note outstanding gift card and package balances so you can honour them.
Set up the new system
- Import your clients and check a few by hand.
- Add services with their prices and times, then your team and their working hours.
- Set your booking rules and cancellation policy.
- Make a test booking as if you were a client.
Run both for a week
Leave existing bookings in the old system until they've happened, and take every new booking in the new one. When the old diary is empty, you're done.
Tell your clients
- Swap the booking link in your Instagram bio, Facebook page and Google Business Profile
- Update the Book button on your website
- Print the new QR code for the counter
- Mention it at checkout: "We've got a new booking page, here's the link"
